Location: 100% On-Site in Capitol Hill, Seattle, WA

Compensation: $24.50-$26.50 hourly DOE

Benefits: Medical HMO, Dental and Vision are free for employees. Accrual of 22 days of PTO in your first year, 16 hours of personal time and 52 hours of sick time added annually.

Job Summary:

Community Roots Housing is looking for an Administrative Assistant to support both the Real Estate Development department (RED) and the Admin department. This position is in person at our 12AA corporate office in Capitol Hill, Seattle, WA.

CRH's Admin Department is responsible for the seamless running of office operations and administrative support of the entire organization. The RED department is responsible for managing the creation of new affordable housing from site control through completing construction and conversion as well as managing substantial rehabilitation of the existing portfolio.

The Admin Assistant will report to the Office Manager and will work supporting both RED and the Admin department.

Duties and Responsibilities:

Real Estate Development Support (RED)

Support the department in collecting project information and update monthly reports

Organize, schedule, and take minutes at meetings & hearings

Enter project information into Investment Central database

Follow prepared instructions to manage signature process for real estate transactions

Act as Notary

Manage paper filing and record keeping systems and ensure documents received are retained and stored according to policy

Support RED team with electronic filing and record keeping systems and ensure documents received are retained and stored according to policy

Assist the department in creating meeting materials and presentations

Assist the department in responding to requests for proposals (RFPs), including organizing, copying, and collating

Prepare materials for property tax abatement applications

Schedule meetings with project consultants and property managers for inspections

Support RED with managing board relationships (scheduling, filing hard copies of recorded documents)

Other general support for RED team and administrative duties as assigned

Admin Team Participation & Support

Participate in weekly supervision meetings with the Office Manager.

Participate in monthly Admin Team meetings.

Support quarterly All Staff meetings, monthly board meetings, annual all staff events (picnic, holiday gathering, etc.). Entailing in-persons event prep & coordination, compiling presentation slides, etc. Certain events will require staying late such as the monthly board meetings and all staff events.

Front desk, email and phone coverage.

Take meeting minutes as assigned at meetings.

Other general support for front desk, Admin team, and administrative duties as assigned.

Requirements

Minimum Qualifications:

Experience with data entry, generating reports

Experience with office administration, notetaking, and scheduling

Verbal and written interpersonal/communication skills

Demonstrated proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Teams and Outlook), experience using Zoom

Must be able to interact with staff (at all levels) in a fast-paced environment

Ability to communicate effectively with people of diverse personalities, cultures and communication styles

Ability to work independently and with precise judgment in wide array of situations

Ability to follow instructions accurately, work under supervision and to problem solve effectively

Demonstrated ability to manage deadlines; manage competing priorities; and maintain high standards for accuracy and productivity

Strong organizational skills, problem solving and ability to compose correspondence and reports

Demonstrated a high level of confidentiality, independent judgment, tact and sensitivity in difficult situations

Knowledge of office management, office systems

Willingness to be a Notary, with support of Community Roots Housing in obtaining Notary certification

Position located in Seattle, candidate must be able to commute to the Seattle office daily

Preferred Qualifications:

Experience working in and with communities of color, which are disproportionately represented among our low-income housing residents

Experience with databases (ex: Investment Central, Abila)

Expertise using Office 365, with an emphasis on Excel

Supervisory Responsibility:

None

Physical Demands: Occasionally setting up tables, moving materials for community events and carrying boxes less than 25lbs.
